Job Description

Title: Property Services Coordinator

Competition: #23-07

Reports to: Maintenance Manager

Compensation: $24.97-$27.05

Schedule: 8:30am to 4:00pm, Monday to Friday (70 hours bi-weekly)

Closing Date: June 23, 2023 at 4pm

Primary Objectives:

  • Coordinates the scheduling and monitors completion of a variety of property maintenance functions;
  • Performs a variety of administrative and clerical functions.

  • Key Responsibilities:

    1. Ensures maintenance requests are processed according to the standards established by the Director of Regional Operations, including:

  • receiving, reviewing, tracking, approving and prioritizing maintenance work requests;
  • issuing and tracking purchase orders;
  • participating in daily maintenance scheduling meetings;
  • tracking progress of maintenance activities and reporting related problems/issues to the Director.
  • 2. Ensures documentation associated with pre-moves, move-ins and move-out are processed as follows:

  • scheduling and tracking pre-move and move-out inspections, in close collaboration with the
  • Maintenance Worker and distributing relevant documentation to appropriate recipients;

  • tracking move-in inspections in collaboration with the Housing and Tenant Relations staff and
  • distributing relevant documentation to appropriate recipients;

  • posting move-out charge backs to the security deposits and forwarding them to Accounting;
  • maintains electronic records (database) and other non-electronic files, service contracts, annual tasks, annual inspections and the maintenance technician task list.
  • 3. Performs a variety of clerical and general office support functions including:

  • preparing and typing correspondence, letters and reports, ensuring timely response to inquiries and issues;
  • ordering supplies;
  • maintaining filing systems;
  • receiving and directing incoming correspondence, invoices, work requests etc.
  • Performing other related duties and special projects, as assigned.

    Requirements

    Qualifications (minimum Education and Experience requirements)

    Note: An equivalent combination of education and experience may be considered.

    Education:

  • Secondary school graduation
  • Training in related administrative duties such as database management
  • Experience:

  • A minimum of two years’ experience in a related role
  • Knowledge, Skills amp; Abilities:

  • Proficient in MS Office programs including Word, Outlook and Excel
  • Knowledge of Yardi Property Management software an asset
  • Basic knowledge of building maintenance processes would be an asset
  • Additional Criteria for Role:

  • Completion of a Criminal Record Check with the Vulnerable Sector is required before employment commences.
