Smith and Associates has an immediate opening in our Office for a Receptionist. We are looking for a person who is outgoing, personable, and works well within a team. They should be comfortable in receiving instructions from multiple people and not answering to a single manager. We are looking for someone who is creative, a problem solver, and who will take the initiative to improve on our business systems. To be successful in the role, you will be well-organized, capable of working on multiple tasks within a day, while being flexible in dealing with new priorities. Must maintain punctual and reliable work schedule between 8:00 and 5:00 PM Monday through Friday
Responsibilities :-
Open office each morning
Answer and route all incoming calls
Greet office visitors and direct them to the appropriate location/person
Open and distribute mail, prepare outgoing mail
Troubleshoot office equipment issues and call for maintenance as needed
Compile list of office supplies, place orders and distribute supplies accordingly
Receive, sign for and distribute office deliveries
Maintaining the reception/lobby area, taking care of plants, straightening magazines
Assist Accounting Department with accounting paperwork, receivables, payables, etc.
Assist Marketing Department with research, proposals, and business development activities
Assist the HR Department with personnel related activities
Assist engineering/construction Departments with preparation of project deliverables for project managers review and approval
Assist with Fleet coordination, inventory, and maintenance.
Track equipment inventory and logistics
Support, organize, and participate in meetings, as needed
Coordinate travel arrangements for individuals or groups, including scheduling flights, ground transportation, lodging, meals, etc.
Perform other related duties as assigned, in an efficient and timely manner
Ability to work effectively both independently and as part of a team
Strong organizational and multi-tasking skills
Excellent organization and record keeping, attention to detail and solid communication are a must
Highly motived, strong work ethic, ability to work on tight deadlines and under pressure
Requirements
High school diploma, some college, technical or advance education preferred
Valid driver’s license and clean driving record
Strong writing, grammar, math, communications, and internet research skills
Knowledge of file management and other administrative procedures
Competency in MS Outlook, Word, and Excel.
Establish and maintain relationships with co-workers, vendors, and clients
