We are currently looking for a front desk receptionist to join our team. The front desk receptionist plays a pivotal role in ensuring that our valued customers have a positive and professional experience from the moment they step into our establishment. As the first point of contact, the receptionist warmly greets and assists customers, managing appointments, inquiries, and administrative tasks. The primary objective is to provide exceptional customer service, maintain organized communication, and contribute to the seamless operation of our shop.

Primary Objectives of the Role

  • Greet and welcome customers in a friendly and courteous manner.
  • Handle incoming calls, emails, and in-person inquiries with professionalism and efficiency.
  • Schedule and manage appointments, coordinating with team members for status updates.
  • Communicate effectively with customers about repair processes and insurance-related matters.
  • Maintain accurate records of customer interactions and appointments.
  • Follow established communication protocols using phone, email, or text as appropriate.
  • Monitor repair requests and assignments, coordinating appraisal appointments and confirming drivability.
  • Record administrative data and import assignments into the system.
  • Schedule insurance or private repair appointments, explaining rental eligibility when necessary.
  • Verify deductibles and communicate relevant information to customers.
  • Assist customers with rental bookings and ensure smooth transitions.
  • Prepare necessary paperwork for claims, rentals, and repairs.
  • Receive and process payments from various sources.
  • Manage files, invoices, and administrative documents.
  • Collaborate with colleagues in a professional and courteous manner.
  • Maintain office organization and cleanliness.
  • Update management systems, ensuring accuracy of dates and notes.
  • Handle customer reviews and facilitate obtaining Google reviews post-repair.
  • Adhere to safety protocols and use personal protective equipment.
  • Other duties as required to support shop operations.



Requirements

Qualifications, Experience and other requirements:

  • 1 year of administrative experience or completion of Administrative Assistant Program. Effective verbal and written communication in English.
  • Problem-solving and critical thinking abilities.
  • Customer service and Customer relation experience an asset
  • Independent and self-motivated work style.
  • Attention to detail and accuracy.
  • Customer service-oriented mindset.
