Our Victoria office is looking for an Administrative Assistant to join our Maintenance team. This role reports to our Maintenance Manager and is full-time / temporary (to cover a leave of absence of approximately three months) with some potential for extension.

As the Administrative Assistant, you will be the first point of contact for Cornerstone Maintenance Services for clients and our Maintenance Technicians. You will welcome people who visit the office, answer and redirect phone calls, and perform various administrative and clerical tasks. You should also be able to deal with emergencies in a timely and effective manner while streamlining office operations. Other responsibilities may include, but are not limited to:

• Accounts Payable

• Accounts Receivable

• Inspection Reports and Work Orders

• Manage changes to on call scheduling

• Organizing Fire Inspections

• General scanning and filing

• Perform other clerical and administrative duties, as needed

Requirements

• Proficiency in Microsoft Office Suite

• Preference given to candidate with some work experience in customer service as a Receptionist, Accounting Clerk, or similar role in another domain

• Basic knowledge of Account payable, Accounts Receivable and collections

• Hands-on experience with office equipment

• Solid written and verbal communication skills, with excellent organizational skills

• Multitasking and time-management skills, with the ability to prioritize tasks

• Customer focus mindset

• Professional attitude and appearance

• Ability to be resourceful and proactive when issues arise

• Willing to work in an office where we have a dog on site
