Leader Name: Manager, Facilities Operations

As ATB’s next Operations Analyst, you’ll be the first point of contact for our Facilities Operations Centre, providing exceptional customer service when coordinating building maintenance and repair requests for all ATB facilities. This includes communicating with service providers, landlords and team members to coordinate requests from beginning through to payment. You’ll support the Facilities Operations team by managing communications to tenants and service providers, providing security access cards to team members, managing incoming mail and maintaining the integrity of our data for all ATB facilities, such as monthly energy consumptions.

The People Places amp; Spaces Team is the group of people behind the scenes getting it done for over 2 million square feet of ATB real estate. This team is the point of contact for all branch and corporate space related requests.


Role Accountabilities

Living the ATB Team Member All In framework:

  • You’ll review, prioritize and action services requests pertaining to building repairs and maintenance, escalating non-routine or emergency scenarios when necessary.
  • You’ll assess and accurately assign the level of priority to facilitate timely fulfillment of service requests.
  • You’ll monitor open requests and communicate daily with service providers, landlords and team members to ensure service level standards are always met.
  • You’ll follow up with team members to ensure customer satisfaction and assist in the monitoring and assessment of service provider performance.
  • You’ll review, triage and process invoices for payment through invoice automation and manual uploads.
  • You’ll administer security card access to team members and contractors in accordance to established policies and procedures ensuring building security is maintained. This includes managing access cards for all temporary contractors and team members when required.
  • You’ll manage communications and other administrative tasks on behalf of the Facilities Operations team such as maintaining photo inventories of our various locations.
  • You’ll update and maintain the data within our facilities management work request system, including monthly energy consumptions.
  • You’ll coordinate parking for team members, communicating with external parking companies and managing contracts.
  • You’ll manage incoming mail by leveraging your strong knowledge of various document types and business functions.

  • You are an analytical thinker with the ability to investigate and resolve issues raised by external vendors, clients and other team members.
  • You have the ability to gather information, accurately assess issues and assign level of priority, by using effective probing and problem solving skills.
  • You are well spoken and communicate your ideas eloquently, both verbally and in writing.
  • You are flexible, can work in an agile fashion and embody a growth mindset.


As the ideal candidate you possess:

  • Post-secondary degree or diploma in related fields and/or relevant experience.
  • 2-3 years of experience in a customer service focused or facilities management environment.
  • Strong knowledge of the G Suite of tools, Jira, LucidCharts and Facilities Management software would be beneficial.
