The Opportunity:

We are currently looking for a Document Controller to join the team in our downtown Calgary location. Part of the Project Services team, the Document Controller is accountable for the receipt, processing, record keeping and distribution of all documentation transmitted between Alstar and Alstar’s clients for active projects. Additionally, the individual in this role will:

  • Receive and process all incoming emails to Alstar’s document control email groups, including applying Alstar’s document control workflows, as required;
  • Maintain all communication logs (transmittal logs) for active projects;
  • Identify document types, names, and revisions, and record this and other document metadata on Alstar’s Master Document Register using Google Sheets software;
  • Work with Bluebeam Revu software to modify PDF files including extracting pages, merging files, adding markups, and bookmarking as required;
  • Follow Alstar’s change management process to identify new revisions and notify stakeholders of new documents or revisions within projects;
  • Transmit Alstar documentation such as reports, Inspection and Test Plans (ITPs), data books, Requests for Information (RFIs), and change orders to clients according to each project’s distribution matrix;
  • Receive drawings and all other client transmittals, save files and transmittals to project folders, and send links to Project teams;
  • Prepare and send completed documentation to client with cover page;
  • Receive responses from clients, update team with response from client, and upload response and status for documents;
  • As availability permits, perform other support tasks for the Project Services group, including, but not limited to, vendor PO management, project close-outs, billing/ticketing support, and generating project reports;
  • Advocate for the organization;
  • Develop process improvements relating to Document Control; and
  • Train new users in Document Control processes.

Requirements

  • Diploma or a combination of relevant education and experience
  • Minimum 2 years of administration experience; Document Control experience is an asset
  • Proficient user with Google Suite, including Google Sheets and Google Documents (Microsoft Office proficiency is considered relevant for this requirement)
  • Experience with Bluebeam Revu is a strong asset
  • Outstanding verbal and written communication
  • Expert organizational skills and ability to multitask
  • Strong time management and prioritization skills
