An extension of ATB Financial, ATB Ventures was started back in 2018 knowing that the convergence of data with powerful emerging technologies such as blockchain, artificial intelligence, and machine learning would pave the way for major disruption and value creation that exceeded the digital transformation of the past 20 years.

Today, ATB Ventures is a diverse team of engineers, data scientists, product managers, and business operators who have spent the past two years building a team, patent and product portfolio - including Open ATBgt; Open AI, Open Data, API Sandbox,Oliu (Self-Sovereign Digital ID platform), and Proof (Digital credential wallet).

ATB Ventures is expanding its team and looking for an experienced Business Administrator and superstar Executive Assistant to support the SVP of ATB Ventures and Innovation.

About the role | What we are looking for.

An essential and critical role to the organization, you will help shape the administrative system that guides day-to-day operations of both the SVP of Innovation and the Venture’s organization, more broadly speaking. This system ensures that the SVP of Ventures makes the most of their limited time, that information arrives at the right point in their decision-making process, and that required follow-ups or recurring activities are managed in advance.

Beyond providing support, routine correspondence and managing the SVP of Venture’s day-to-day operations, you are capable of handling several principal duties, all focused on making time, information, and decision-processes more effective to enable the SVP of Ventures and the broader team achieve sharp gains in productivity and impact.

As a Business Administrator amp; Executive Assistant, you are:

  • Spend 70% of your time directly supporting the SVP of Ventures; 30% of your time supporting Ventures Operations with broader team business administration / operational activities
  • The right-hand person and force multiplier to the SVP of Ventures;
  • An honest broker when the SVP needs a wide-ranging view without ‘turf’ considerations and / or organizational agenda;
  • Air traffic controller for the ATB Ventures Senior Leadership team and organization, broadly speaking;
  • An integrator connecting work streams across the Ventures team that would otherwise remain siloed;
  • An excellent communicator who is able to link the Venture’s leadership team with the broader ATB organization;
  • Fluent at proactively anticipating problems and navigating issues as / when they arise that require diplomacy, humility, maturity, and situational sensitivity;
  • An independent thinker and self-starter capable of dealing with - at speed - a host of ‘asks’ from multiple touch points with little or no direction.

Summary of key responsibilities | What you will be responsible for day-to-day

  • Maximize the SVP of Venture’s productivity through a broad scope of administrative support duties, including: calendar management, weekly calendar audits, daily standups, preparing a variety of correspondence, briefing packages for various internal and external meetings, expense management, etc.;
  • Oversee and activate clear, consistent operational procedures and practices to help the SVP of Ventures manage their meetings, team, and workload, including: creating checklists and templates for repeatable operations;
  • Capture, collate and prepare presentation and communication materials for key team and executive meetings, planning sessions, etc.
  • Review and synthesize metrics / initiatives to support Ventures strategy and prioritization
  • Oversee the ATB Ventures’ team member experience and operations- onboarding new hires; preparing for and executing against key cross-functional team meetings, including: OKR / Goal Setting meetings, Monthly Team Townhalls, Semi-Annual Team Offsites, etc.;
  • Spearhead special projects where / when relevant;
