The RoleAs a member of our Office of the Chief of Marketing Officer (CMO) team, you will work with one or more teams within the department to support and set them up for success. You will also be expected to work with employees from other departments as needed and from time to time present to senior leadership.The role of the Administrative Assistant at ApplyBoard is a support role to help the team achieve their goals. At times this can mean being the leader to get the team over the finish line and at other times it can mean being at the back helping to make sure no one is falling behind.Responsibilities:
  • Provide administrative support to the office of the CMO (Prepare a variety of correspondence, reports, presentations and charts as needed by the office of the CMO, reviewing documents and ensuring accuracy and attention to details)
  • Responsible for organization and maintenance of the department filing system including potentially confidential data
  • Recommends improvements on administrative procedures and implements changes
  • Exercises discretion in handling confidential material and information
  • Anticipate team needs and proactively address upcoming requests
  • Independently drive and manage tasks with the ability to ask for appropriate details and respond promptly to requests assign priority to tasks
  • Accurately disseminate invitation and correspondence, in a timely manner
  • Collaborate with office administrator to ensure department supplies needs are met
  • Ad-hoc projects administration as needed
Preferred Qualifications:
  • 2-3 years of experience in a similar role
  • Experience in a fast-paced, high-growth business
  • Proficiency in using Google products, Atlassian and Zendesk
  • Exceptional organizational skills, strong analytical abilities, detail-oriented and high level of accuracy, and comfort with ambiguity
  • Ability to develop and maintain rapport with all organizational levels both internally and with external parties
  • Exceptional problem-solving skills under ambiguous circumstances
  • Proficiency in proofreading/editing text to ensure spelling accuracy and grammatical correctness
  • High level of professionalism, diplomacy, and integrity with the ability to handle sensitive and confidential information appropriately
  • Aptitude for prioritizing tasks with attention to detail to ensure information accuracy
  • An independent self-starter who thrives in a collaborative, teamwork environment
  • Flexibility in a fast-paced environment and able to meet multiple deadlines and adapt to new policies and procedures
