The Opportunity
We are currently looking for a Receptionist/HSE Administrator to join our team in Calgary, Alberta. Reporting to the Safety Operations Coordinator, the successful candidate will be accountable for general front desk/reception duties, safety administration, and safety scheduling. Additionally, the successful candidate will:
HSE
- Build and send weekly safety alerts based on monthly topics
- Maintain, monitor and follow up on action logs to ensure current
- Build corporate safety meeting + office (admin) safety meeting slide packs, agenda and complete minutes
- Organize and schedule meetings as directed by the SOC/HSE Manager
- Prepare and assemble tailgate meeting packages
- Maintain, update and interpret location tracking spreadsheets
- Conduct filing and records management
- Build and send incident alerts as directed by the SOC/HSE Manager
- Build and send Safety Alstar Winner bulletins
- Update safety stats based on daily safety paperwork
- Print, restock and organize safety forms and First Medical Package
- Maintain inventory of printed safety forms (FLHA, Report Cards, Safety Manuals), reorder when required
- Assist with JHSC meeting minutes, terms of reference, meeting invites
- Print safety bulletins and update bulletin boards
- Assist with PORβs and ordering
- Organize PPE requirements
- Manage safety awards inventory and ordering
- Arrange third party orientations
- Order, organize, track, distribute coveralls
RECEPTION/GENERAL ADMINISTRATION
- Greet guests and new employees in a professional manner
- Answer and direct incoming phone calls
- Organize and re-order office supplies as needed
- Keep inventory of office supplies
- Keep storage room and front entrance clean and tidy
- Keep lunchroom clean and organized
- Arrange incoming amp; outgoing mail / couriers
- Organize food and beverage requirements for internal events and meetings (ordering lunches for different departments as needed)
- Assist with Social Committee event planning, volunteer events
- Ensure all office lists are kept up to date (ie. Employee sign in sheet (muster-roll), visitor sign in sheet, COVID-19 screening sheet, front phone list, kitchen duty schedule)
Requirements
In this role, the successful candidate will have:
- High school diploma + Administrative or equivalent Certificate is preferred
- 2-3 years of reception/administration experience
- 2 years of experience in a Safety role
- Proficient with spreadsheets
- Experience with Google Suite is an asset
