We currently have an exciting opportunity as a Receptionist for a temporary placement of three months, with the possibility of extension. This role is based in our Oakville office and reports to the Executive Assistant.

Job Summary

As the first point of contact for visitors, clients and incoming calls, the successful candidate will be responsible for promoting a friendly and courteous environment and always maintaining a professional appearance, and representing the company brand.

Principal Responsibilities

  • Welcome guests and employees by greeting them in person or on the telephone and answer or refer inquiries, in a professional and enthusiastic manner
  • Main point of contact for employees or receiving guests and visitors
  • Review and schedule room bookings as requested by employees
  • Manage ordering of office supplies for the printers and kitchen. Ensure all office equipment i.e. photocopiers and printers are in good working order and supplies are on hand.
  • Maintain safe a clean reception area by complying with procedures, rules, and regulations
  • Manage and prepare all mail and courier packages and ensuring they are sent and delivered in a timely manner
  • Prepare purchase orders for invoices received
  • Arrange meeting room schedule and bookings for employees as required
  • Conduct morning and evening rounds to ensure all guest boardrooms and meeting rooms are orderly and provided with a common set of supplies
  • Coordinate catering for employee meetings as requested
  • Work with building property management as needed to ensure all workspace is functional and no operational hazards exist
  • Other sundry duties, as may be requested from time to time, including assisting with back-up functions for other administrative staff during vacation or other absences to ensure ongoing administrative support
  • Assist with small projects as required by other administrative support (i.e. labels, bulk mailing, ordering office supplies etc.);
  • Complete other duties as assigned

  • Strong organizational skills, along with the ability to prioritize tasks
  • Strong analytical and communication (both verbal and written) skills
  • Strong interpersonal skills and pleasant telephone manner
  • Ability to organize tasks and prioritize responsibilities
  • Ability to function well independently and a member of a team
  • MS Office Skills
  • Attention to detail and a ‘can do’ attitude
